Scavenger Hunt Host Checklist
A host checklist prevents small setup details from becoming delays during play. Work through the route in order, prepare the finish before guests arrive, and keep one complete answer copy with you.
One day before
Confirm the route, print materials, gather tape and pens, charge devices, prepare prizes, and check the weather. Ask permission for any business, classroom, or shared-space locations.
One hour before
Place clues in order, photograph each location for reference, remove hazards, set boundaries, and test the full route from the player’s perspective.
At the start
Explain rules, timing, boundaries, hint policy, scoring, and the meeting point. Confirm that every team has the required materials and understands how answers are submitted.
After the finish
Collect clue cards, remove tape, return moved objects, check public areas, save useful materials, and note any clue that was confusing or too easy for future revisions.

Host Timeline
- The day before: print player copies and the answer key, confirm permissions, gather supplies, and check the forecast.
- One hour before: place and photograph every clue, test the route, remove hazards, and set out the final prize.
- At the start: explain boundaries, proof requirements, hints, scoring, and the return point.
- After play: count everyone back, collect every clue, restore the space, and note which tasks need revision.
Test the Experience from the Player’s View
Walk the complete route holding the same clue sheet or phone the players will use. Check sight lines, reading level, transitions, locks, lighting, and whether one clue accidentally reveals another. Photograph every hiding place so a moved or missing clue can be restored quickly.
Build a Small Host Kit
Keep tape, removable adhesive, pens, spare clue cards, a timer, the answer key, emergency contacts, water, and the final prize together. Add a few blank cards for last-minute changes. For public routes, include permission details and the phone number of any venue contact.
Close the Hunt Properly
Count teams back in, verify that no one remains on the route, collect reusable materials, remove every clue, and return moved objects. Note which clues were too easy, too hard, or unclear while the event is fresh. Those notes make the next version faster to prepare and more enjoyable.
